Who we are

This Privacy Policy explains how Multiservices Vancouver Household Maintenance Ltd., operating as Multiservices Vancouver (“Multiservices Vancouver”, “we”, “us” or “our”), collects, uses, discloses and protects personal information through our website at multiservicesvan.com and in the course of our business.

We follow the Personal Information Protection Act of British Columbia (BC PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we collect

We collect only the information we need to respond to you and run our business:

Walkthrough and quote requests

• Your name, company or building name, email address and phone number.
• Details about the property and the service you need, such as property type, number of locations, city, service, frequency, preferred walkthrough date and any notes you add.

Job applications

• Your name, email address, phone number, the position you are interested in and your availability.
• Your résumé (PDF, DOC or DOCX, up to 10 MB) and any notes you choose to include. Please do not include sensitive information such as your Social Insurance Number, date of birth or banking details in your résumé.

When you contact us directly

If you call, email or message us (for example through WhatsApp), we receive the information you share, such as your name, contact details and the content of your message.

Information collected automatically

• Our website uses Google Tag Manager, which may load analytics tools that use cookies or similar technologies to collect information such as pages visited, approximate location, device and browser type, and how you arrived at our site.
• Like most websites, our hosting provider keeps standard server logs, which can include your IP address, browser type and the pages requested.
• To prevent spam, our forms briefly record a one-way coded (hashed) version of your IP address and the time of submission. This record does not contain the contents of your form.

How we use your information

We use personal information to:

• Respond to your enquiries, schedule walkthroughs and prepare written scopes of work and quotes.
• Deliver, schedule and manage the services you request, and communicate with you about them.
• Invoice, process payments and keep accounting and tax records.
• Review job applications, contact candidates and make hiring decisions.
• Understand how our website is used so we can improve it.
• Protect our website and business against fraud, spam and misuse, and meet our legal obligations.

We do not sell or rent your personal information. We will not use it for a new purpose without your consent, unless the law permits or requires it.

How website forms are handled

When you submit a walkthrough request or job application, the information (including any résumé you attach) is sent by email to our business inbox at info@multiservicesvan.com. Form contents and résumés are not stored in a database on our website.

Once received, your information is kept in our business email and, where needed, in the business tools described below.

Third-party tools and service providers

We use trusted third-party providers to operate our business. They receive only the information they need to provide their service to us:

• Website hosting and business email (GoDaddy) — hosts our website and the email account that receives form submissions.
• Accounting software (QuickBooks Online, provided by Intuit) — used for client records, estimates, invoices, payments and bookkeeping.
• Scheduling tools — used to book walkthroughs, plan crews and manage service appointments.
• Website analytics (Google Tag Manager and related Google tools) — used to understand website traffic.
• Messaging (WhatsApp, provided by Meta) — only if you choose to contact us through WhatsApp.

Some of these providers may store or process information outside British Columbia or Canada, including in the United States. When that happens, your information is subject to the laws of those jurisdictions, and may be accessible to their courts, law enforcement and national security authorities.

We may also disclose personal information when required or permitted by law, for example to comply with a court order, or to professional advisers such as our accountant or lawyer who are bound by confidentiality.

How long we keep information

• Enquiries that do not become clients: kept for as long as needed to respond and follow up, and generally deleted within 24 months.
• Client and accounting records: kept for as long as you are a client and afterwards for as long as required by law, including at least six years for tax records under Canadian tax law.
• Job applications and résumés: generally kept for up to 12 months after we make a hiring decision, so we can consider you for future openings, unless you ask us to delete them sooner. If you join our team, your application becomes part of your employee file.

When information is no longer needed, we delete it or make it anonymous.

How we protect your information

We use reasonable physical, administrative and technical safeguards to protect personal information against loss, theft and unauthorized access, use or disclosure. Our website uses an encrypted (HTTPS) connection, and access to personal information is limited to people who need it to do their work. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your rights

Subject to limited exceptions set out in the law, you have the right to:

• Access the personal information we hold about you and learn how it has been used or disclosed.
• Correct personal information that is inaccurate or incomplete.
• Request deletion of your personal information, or withdraw your consent to its use, where we are not required to keep it by law or for a contract with you.

To make a request, contact us using the details below. We may need to confirm your identity before responding. We will respond within the time limits set by applicable privacy law (generally 30 days).

If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.

Cookies and your choices

You can set your browser to refuse or delete cookies, and you can use browser settings or extensions to limit analytics tracking. Our website will still work if you do, although some features may not work as intended.

Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new “Last updated” date.
